The board of directors is the governing body of Porthole Players Ltd. They are required to be knowledgeable, enthusiastic, and helpful in safeguarding the mission and values of the company. A board position will last for one year with the option of renewal after a peer evaluation.
Directors will participate in reviewing policies, fundraising, show productions, and using their personal skill set to donate time and effort to the vision of the company. Through direct donations or in-kind contributions, each board member is responsible for adding value to the company.
Another aspect of the job is the expectation that directors will assist the officers with building community relationships, and promoting Porthole Players productions and education efforts. Also by joining committees and participating in the election or removal of officers and board members. Recruiting future potential board members is another important task that falls to each director.
All directors are required to attend all monthly meetings except when excused, and maintain the confidentiality of their proceedings. Board members will ensure that the president is made aware of all new developments, and ensure that requests of officers are reasonable and timely.
Finally, all directors will sign and adhere to the conflict of interest document as it is developed and refined.

Jennifer has lent her grant writing skills to Porthole and has adopted the secretary role. A writer to the core, she hopes to bring more opportunities to the theater community.
Alex is a maintenance tech living in Toledo, OR who has been on again off again “treading the boards” as they say, since 2005. Alex is thankful to have the theatre and surrounding community here in the coastal sphere, and hopes both entities continue to blossom and thrive in these ever evolving times. A lifetime member of Porthole Players and a skilled playwright and dramaturg, Jennifer is pleased to serve on the Porthole Board. She has a Master's in Theater Arts from the University of Idaho and manages marketing for the University of Oregon events.
Jennifer directed Matilda the Musical, which hit the boards last November to rave reviews. She enjoys teaching at Toledo Elementary and has been a board member of the American Association of Community Theater since 2018 after joining in 2008. Jennifer holds a Master's in Theater from Kansas University.

Sean and his family moved to Newport 10 years ago. He currently works in the IT department at Samaritan Pacific Communities Hospital. Since moving to the Oregon Coast, He’s appeared in Arsenic and Old Lace and Coriolanus. He enjoys cooking, hiking, and writing. Sean is also teaching our improv class at the Newport OCCC campus.
Jason is an aspiring writer with 2 books in the works. With only one production under his belt, he decided to join the Porthole players board to support his local theater company. He is a CT Technologist at the Samaritan Hospital in Newport.
Gigi has been in theater since she was 8 years old. She has been a part of 5 different productions on
stage and behind the scenes, with two productions at the Performing Art Center in Newport Oregon.
She has a voice that can be heard without a microphone.

Cameron is a life long resident of newport. He began his involvement with the performing arts center in 2009 at the age of 13 in the pit orchestra and has been consistently involved with theater ever since. He looks forward to being in a bigger role at the PAC going forward.
As our current board president, Morgan is your go-to for all things Spirits of Sylvia Beach (he's directing!) He can also answer questions regarding our day-to day operations.
Miranda has a handle on all things tech related. The website, emails, and socials are her domain (pun intended!) and she also steps in when Morgan isn't available.

“The Secretary shall attend all sessions of the Board and all meetings of the members and record the minutes of all proceedings both digitally and physically in a book to be kept for that purpose, and may perform similar duties for any committee when required. They shall perform such other duties as may be prescribed by the Board of Directors or President, under whose supervision they shall be. The Secretary shall maintain the corporation’s mailing list.”
GENERAL ACCOUNTABILITIES AND ESSENTIAL FUNCTIONS
• Follows established Porthole Players policies and procedures at all times. • Maintains complete confidentiality with other Porthole Players Officers and Board of Directors in order to promote a cooperative and team spirit within the organization. • Develops professionally through formal and informal training. • Maintains a professional image and demeanor. • Coordinates with President and Board Members to develop monthly meeting Agenda. Distributes finalized Agenda to Board Members and Officers 7 days prior to scheduled meeting date. • Records the minutes of monthly meetings and distributes a typewritten draft to Board Members and Officers 7 days prior to the next scheduled meeting date. Correlates information packets. • Maintains the Master Mailing List used by all Officers to conduct daily business. The Master Mailing List must be stored on both USB and Google Drive. • Maintains the Administrative Forms and Documents used by all Officers and Board of Directors to conduct daily business. All items must be stored on both USB and Google Drive. • Collects, opens, and routes USPS mail for all Porthole Players Officers, Monday-Friday. Maintains daily log of all items received via USPS. • Processes monies received through the mail. Photocopies or scans cash/checks, invoices, and other supporting documents for Treasurer. • Answers emails in a professional manner. • Operates a variety of office equipment including computer, calculator, scanner and printer. Serves as troubleshooter for equipment maintenance. • Provides information to the public on Porthole Players events and programs via phone or email. • Mails general information when requested or appropriate. • Performs clerical duties for President as requested. • Coordinates and schedules meetings. Coordinates refreshments for meetings as requested. • Completes or participates in special projects as assigned.
SUPERVISORY RESPONSIBILITY
This position has no supervisory responsibilities.
KNOWLEDGE, SKILLS, AND ABILITIES
(Minimal) High school graduate or equivalent GED. College level training in secretarial science, office management or a closely related field is desirable. Two years’ office or receptionist experience is required. Experience with IBM compatible computers and commonly accepted software is required. The abilities to handle multiple tasks, to function well with a variety of people in a team environment, and to work under limited supervision, both independently and in a team environment are required.

Our Lifetime Members are recognized in all playbills, on the website and receive complimentary tickets to every Porthole Players production. They have made significant contributions that far exceed any individual expectations. They prove to be our biggest supporters and Porthole would not be the same without them.

Stephan has worn every hat imaginable for Porthole. He has served many years on the board of directors, directed shows, produced, performed as well as designed and hand painted gorgeous sets over decades. He has been a valued asset as the "go-to" person and skilled calligrapher at the PAC. If you haven't enjoyed his delectable fudge, you are missing out!

When she received her award at our annual meeting, Carol had a touching moment when she realized the logo she created for Porthole Players was used on the award itself. Carol's accomplishments don't end there. She has been a Music Director, Producer, Artist and Board Member over her decades of giving to Porthole Players success.
If you've enjoyed musicals put on by Porthole Players, chances are pretty good that you've tapped your foot along to the beat of Rick's drums in the pit. Our orchestra members go mostly unseen, but the caliber of their performances make the shows unforgettable. Rick is an outstandingly positive influence on all he encounters.
